Perform administrative tasks in support of production and sales to ensure availability and accuracy of production details and business system inputs to meet customer commitments. Provide clerical and administrative support to the Division Managers and serve as the receptionist..
· Prepare, update, maintain, and file job order information and shop folders for all production jobs.
· Coordinate with the Production Administrator to release job packets according to the production schedule.
· Perform the receiving function for direct shipped materials ensuring that all necessary information and documentation has been received, distributed, and filed. Follow up on missing information or documentation to ensure that items are received in a timely fashion.
· Perform labor entry as required to the ERP system.
· File and maintain job and inventory records.
· Input, update, and maintain data in the business system. Generate and distribute reports from the business system.
· Assist with verification of labor and material requirements and assist with resolution of any discrepancies or issues before closing production jobs in the ERP system.

· Provide clerical, administrative, travel, and expense reporting support to the Division Managers.
· Support and coordinate division meetings and events. Serve as primary contact for meeting and event catering.
· Greet all visitors, contractors, and vendors in an efficient, pleasant, and professional manner. Ensure that all visitors are checked in and out of the building in accordance with company procedures.
· Assist in the preparation of travel and accommodations for MELCO visitors.
· Maintain appropriate level of office supplies and schedule maintenance for office equipment as needed.
· Be the point of contact for Corporate Facilities Maintenance and outside contractors.
· Coordinate and issue Weekly Attendance Schedule of all EDD office personnel.
· Sort and distribute incoming and internal office mail. Prepare correspondence and materials for mailing via U.S. postal service, Fed Ex, UPS, etc.
· Assist in filing divisional documents and records.
· High school diploma or GED with a minimum of 3 years of experience in an administrative position working with customers and outside contacts, or equivalent education and experience.
· Ability to maintain a positive and professional attitude when interacting with visitors, callers, and co-workers.
· Ability to operate a variety of office equipment.
· Ability to work independently and on several projects simultaneously.
· Intermediate analytical and problem-solving skills.
· Advanced interpersonal, verbal, and written communications skills.
· Intermediate computer skills with emphasis on Microsoft Office products.
