Office Space Planning & Design Specialist

MEPPI’s facilities department is seeking a skilled Space Planner to lead the planning, coordination, and management of office space utilization across all company facilities. This role ensures efficient use of workspace to support daily operations while proactively planning for future occupancy and space needs. You will collaborate with internal teams and external vendors to optimize work environments, support business growth, and deliver a professional, innovative workspace experience.

What You’ll Do:

  • Track & Optimize Space: Maintain accurate records of space assignments, employee seating, and workspace utilization. Identify opportunities to improve efficiency and recommend enhancements.
  • Maintain Floor Plans: Update and manage floor plans to reflect current occupancy, available space, and furniture layouts.
  • Set Standards: Document and maintain MEPPI’s furniture standards and philosophies to align with business needs, workforce trends, and industry best practices.
  • Support Budgeting: Assist divisions and departments with expense and capital budgets for moves, furniture reconfigurations, and related projects.
  • Lead Moves & Reconfigurations: Develop project plans, manage logistics, and collaborate with IT to ensure technology needs are met during relocations or reconfigurations.
  • Source & Coordinate Furnishings: Procure furniture and materials, ensuring timely delivery and installation.
  • Oversee Inventory: Manage furniture storage and inventory processes to support efficient operations.
  • Support Facilities Projects: Partner with the Facilities Manager on initiatives that enhance workplace environments.
  • Promote Professionalism: Represent MEPPI positively in interactions with contractors, vendors, and internal stakeholders.

What You Bring:

  • Education: Bachelor’s degree in facilities management, interior design, or related field.
  • Experience: Minimum of 5 years in space planning, facilities management, or equivalent education/experience.
  • Technical Skills: Advanced knowledge of space planning, design, and modeling software tools; intermediate understanding of interior design concepts, furniture systems, building codes, and office space standards.
  • Communication: Strong interpersonal, verbal, and written communication skills with the ability to work effectively across teams and with external partners.
  • Problem-Solving: Advanced analytical skills to evaluate and optimize workspace solutions.
  • Negotiation: Ability to negotiate with suppliers and contractors to achieve cost-effective results.
  • Computer Skills: Advanced proficiency with Microsoft Office and related business systems.
